Job Description: We are looking for a motivated and meticulous Assistant Property Manager to join our team. This role supports the Property Manager in all aspects of management for our diverse portfolio, ensuring efficient operations and tenant satisfaction. The Assistant Property Manager will help in the administration of property maintenance, leasing, tenant relations, and economic management tasks. 1-3 years’ experience managing scattered sites, single and multi-family buildings. Subsidized Housing/Section 8 experience is a plus.

Responsibilities:

  • Assist the Property Manager in daily operations including tenant relations, maintenance requests, and lease administration.
  • Maintain professional, courteous communication with team members, tenants, applicants, owners, and funding sources.
  • Conduct property inspections and coordinate maintenance and repairs to ensure exacting standards of property appearance and functionality.
  • Help manage financial tasks such as rent collection, invoice processing, and budgeting.
  • Provide administrative support for leasing efforts, including preparing leasing documents, screening prospective tenants, and promoting properties.
  • Address and resolve tenant complaints and service requests and support elevated levels of tenant satisfaction.
  • Maintain accurate records of property-related activities such as leasing, collections, tenant files, insurance policies, warranties, service requests and service contracts.
  • Submit and maintain paperwork for CHA, HACC, HUD, etc.
  • Aid in preparing regular reports on property performance, including collections, occupancy, and financial metrics.
  • Support the Property Manager with compliance with all local, state, and federal regulations.
  • Compile and type correspondence to tenants, property owners and funding sources.
  • Work with Property Manager to follow up on legal proceedings for lease violations.
  • Answer telephones with professional decorum.
  • Maintain a professional appearance in the workplace.
  • Ability to prepare comparable market analysis reporting for portfolio areas in multiple locations.
  • Aid in screening applicants and showing units.
  • Administrative/Municipal relations
  • Ensure all properties are in compliance with all local rules and regulations including Village Registrations (Annual, rental property, new lease, etc.) Rental Inspections and Point of Sale (meet any requirements for clients to buy or sell property)
  • Log all time worked and tasks completed in property management software.
  • Ability to aid in completing managerial tasks in the absence of the Property Manager
  • Adhere to employer governing policies and procedures.
  • Other duties as assigned.

Qualifications:

  • High School Education, accepted. Associate degree, accepted or Bachelor degree in Business Administration, Real Estate, or related field preferred.
  • 1-2 years of experience in property management or a similar role.
  • Strong understanding of residential and commercial property management principles.
  • Excellent organizational skills and diligence.
  • Effective communication and people skills, with the ability to interact effectively with tenants and staff.
  • Knowledgeable in property management software YARDI, OneSite, PropertyWare, Buildium and LeadSimple 
  • Knowledgeable with the ability to navigate Google platforms and Microsoft Office Suite.
  • Reliable Transportation with valid Driver’s License and current insurance.
  • Valid Real Estate Leasing License preferred; not required
  • Willing to secure a real estate license within 1 year of joining our company.
