Responsibilities:
- Act as the primary point of contact for prospective clients both on the phone and in the office, guiding them through the initial setup process; then monitoring communication through estimating, sales, and project initiation
- Collaborates with leadership and sales/production team to ensure accurate and comprehensive work order creation, project scheduling, and client consultations
- Oversee the administrative aspects of sales and project coordination, including the maintenance of job-tracking, CRM, and estimating software, to ensure accurate and timely information flow
- Responsible for all emails and inbound phone calls, directing callers to appropriate internal staff as needed
- Assist leadership in financial tasks, including expense tracking of receipts received, vendor and supplier bills, and record keeping
- Provide updates to clients and team members on project status, schedule adjustments, and any other relevant information, maintaining professional and ethical communication standards
- Assist leadership in marketing efforts, including gathering client testimonies, monitoring social media accounts for business referral opportunities, contributing to industry expo setup/attendance, along with other assigned duties
- Responsible for organizing and maintaining a clean, well-ordered, and efficient office environment to support productivity and professionalism
- Additional administrative duties include but are not limited to maintaining mail received, coordination of team lunches, making bank deposits, and running additional errands as needed

Experience & Education required:
- Proficient in Microsoft Office Suite; Google Suite
- Minimum of 3 years of experience in sales, customer service, office administration, or project coordination
