Duties and Responsibilities

  • Manage and organize calendars, schedule appointments, and update agendas as needed to ensure optimal time management.
  • Handle email and phone communications, tactfully managing inquiries and requests, and ensuring timely responses.
  • Prepare necessary documentation including reports, presentations, and briefing papers for both personal and business meetings.
  • Assist in the preparation and control of financial documents such as expense reports and invoices, ensuring adherence to budget constraints.
  • Arrange travel and accommodation plans for business trips, ensuring all aspects are compliant with company policies.
  • Maintain confidentiality of sensitive information, demonstrating integrity and discretion in all activities.
  • Perform background research and provide insights to aid in decision-making processes related to both personal and business endeavors.
  • Foster effective communication channels between senior management and other departments within the company.
  • Utilize organizational tools such as CRM systems to manage client relationships and enhance productivity.
  • Oversee and manage special projects, ensuring timely completion and adherence to specified guidelines.

Requirements

  • Proven experience as a Personal Assistant, supporting higher-level management.
  • Exceptional ability to organize, prioritize, and manage a wide array of tasks effectively.
  • Knowledge of office management systems and procedures, including technological proficiency with office software such as MS Office and Google Suite.
  • Strong communication skills, both written and verbal, necessary for managing business correspondences and interaction with clients.
  • High level of discretion and confidentiality for handling sensitive information.
  • Capability to work independently in a fully remote setting with little supervision.
  • Excellent time management skills and the ability to multitask and prioritize work accordingly.
  • Attention to detail and problem-solving skills to navigate both routine and complex challenges effectively.
  • Advanced administrative and reporting skills, capable of managing budgets and preparing financial reports.
  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred.
