Job Description

We are currently seeking an experienced Client Billing and Operations Coordinator. The ideal candidate will have a minimum of 3 years of administrative experience, with expertise in Excel and a strong background in heavy data entry. Attention to detail, accuracy, and excellent follow-up skills are paramount, along with strong relationship-building abilities. The candidate should also excel in persuading and holding others accountable, while demonstrating exceptional people skills. Being tech-savvy and maintaining a high sense of urgency are essential.

Responsibilities

  • Confirming all jobs and taking appropriate action
  • Collecting and properly coding all payments, with a focus on Accounts Receivables
  • Ensuring all contracts are signed by customers and stored appropriately
  • Completing all finance and loan documents with customers
  • Scheduling work orders appropriately through the CRM
  • Ordering materials for technicians
  • Communicating all necessary information to the project manager
  • Scheduling follow-up appointments
  • Accurately entering all invoices into appropriate spreadsheets
  • Entering maintenance and warranty revenue for deduction
  • Maintaining accurate company sales data, with a focus on Collections
  • Occasionally assisting with pulling permits or collecting required documentation
  • Ensuring all processes are followed
  • Bringing everything to a conclusion, leaving no loose ends
  • Following the company's debrief checklist on every call
  • Performing any other assigned duties as necessary

Requirements

  • A minimum of 3 years of administrative experience
  • Comfortable with Excel and proficient in data entry
  • Ability to maintain an extreme level of accuracy
  • Great follow-up skills
  • Excellent relationship-building skills
  • Strong people skills, specifically the ability to persuade and hold others accountable
  • Tech-savvy
  • Driven with a high sense of urgency
