Service Administrative Assistant

Salary Range:  $15.50 - $20 hour

The Service Administrative Assistant is responsible for supporting the Service Department and the Project Managers and Service Coordinator. Assist the department members in their goal to oversee service projects from commencement to completion. An individual in this position will be expected to perform additional job-related responsibilities and duties as assigned and/or is necessary.

Duties include:

  • Receive and route phone calls and assist with Customer Relations.
  • Create Work Orders requested by Project Managers.
  • Send Work Tickets to Service Technicians as scheduled by the Project Managers.
  • Maintain Agenda for Weekly Service Meeting from Items Provided by Project Managers.
  • Assist Service Project Mangers & Coordinator for general office duties as requested.
  • Track weekly Light Audit Work Orders & Schedule.
  • Ensure Service Work Tickets and Employee Time Entries are Imported Daily.
  • Maintain the Work Order Schedule Board as requested by Project Managers. 
  • Daily trips to the Post Office to obtain and send mail as needed for the Office.
  • File documents as needed for the Service Department.
  • Maintain Office Supplies as needed for the office.
  • Assist with On-Call Accountability.
  • Assist with Departmental Marketing Efforts.
  • Execute organization's programs, policies, standards, and procedures consistently.
  • Negotiate and resolve all customer concerns. 
  • Develop/maintain network of professional relationships within the industry. 
  • Completes work assignments and priorities by using policies, data, and resources; collaborating with managers, co-workers, customers, and other business partners; identifying priorities, deadlines, and expectations; communicating progress and information; determining and recommending ways to address improvement opportunities; and adapting to and learning from change, difficulties, and feedback.

Position Requirements:

  • Excellent written and oral communication
  • Self-motivated and detail oriented
  • Technical proficiency in MS Office and Software Acuity
  • Texas Drivers License
