Office Coordinator, Operations
Reports to: Operations Manager
PURPOSE:
Serves as first point of contact for customers, employees, vendors, and guests and provides office support throughout a variety of tasks to assist in maintaining smooth and efficient operations. The Office Coordinator is crucial in creating a desirable and clean work environment for all employees.
RESPONSIBILITIES:
Essential job responsibilities include, but are not limited to:
Receive visitors, applicants, and new employees in a welcoming and pleasant manner.
Conduct station tours as necessary.
Receive, sort and distribute incoming mail and voice mail messages, responding as needed to requests.
Process postage meter, copy machine and office supplies.
Order supplies and and/or service as needed.
Process invoices accurately and in a timely manner.
Create documents and help with establishing processes and procedures that assist the Operation and Workflow of the business and factory as requested by the Operations Manager.
Prepare accounts and work in the ERP and CRM systems effectively and confidentially.
Schedule meetings, provide hospitality, and attend meetings, taking minutes as needed.
Deliver and pick-up various work-related items (print orders, supplies, bulk mailings, etc.).
Daily cleaning of front office, break room, restrooms, and public areas including, but not limited to: emptying trash, cleaning surfaces, sweeping/vacuuming.
Maintain factory supply, tool, and equipment check in/out lists.
Assist with Shipping and Receiving as needed.
Assist with answering phones and serving those calling as needed.
Assist with production or office projects as needed.
Assist with new employee orientation as needed.
Assist with special events.

Secondary job responsibilities include but are not limited to:
Assist with miscellaneous duties as requested.
Write and produce various materials as assigned including, but not limited to: training materials, company policies and procedures, professional communication to customers and vendors.
QUALIFICATIONS:
Minimum Preferred Education and Experience:
Previous office experience a minimum of two years preferred
Strong and effective communication skills
Ability to troubleshoot and problem solve customer and technical issues
High level of confidentiality with sensitive information
Proven and exceptional leadership experience within a factory setting
Excellent time-management, analytical, and problem-solving skills
Strong and effective communication skills
Must have a valid Driver’s License and clear motor vehicle report
