Executive Assistant

Salary Range:  $60000 - $65000 year

A small national trade association in Washington, DC is looking for an experienced, polished candidate with previous Executive Assistant experience and long tenure with previous employers.  

Starting at: $60k

Position Overview: The Executive Assistant provides administrative support to the CEO, Policy & Politics department (general counsel, policy, ESG (Environmental Sustainability and Governance) professionals, Social Responsibility Director and PAC (Political Action Committee) Director.

 Responsibilities:

  • Supports the administrative and organizational functions and ESG functions including the Business Continuity Coalition, and the organizations’ Foundation.
  • Organizes and distributes Foundation communications.
  • Interacts with the CEO, Legal Counsel, Executive VP as well as Executive level staff from other organizations
  • Assists in preparing and proofing expense budget spreadsheets for political outreach, federal and state lobbying, organizational dues, and subscriptions.
  • Manages and facilitates P&P meetings and calls with members, consultants, and stakeholders, and manages internal department calendar.
  • Manages and organizes calendars, scheduling requests, and invitations for department staff.
  • Organizes and manages the organizations document/ photo library, ensuring the accurate data retention and cataloging of documents, including contracts, trademarks, copyrights, filings, and billing statements.
  • Prepares legislative and contract redlines.
  • Incorporates edits, proofs, and submits comment letters and other related submissions to agencies such as the U.S. Securities and Exchange Commission (SEC), the Internal Revenue Service, and the Financial Accounting Standards Board (FASB).
  • Prepares, formats, and distributes brand-compliant documents and other electronic publications such as alerts for certain council, committee, and task force meetings.
  • Coordinates and manages the 1099-DIV year-end data collection process and EY property tax survey.
  • Performs other duties as assigned.

Qualifications:

  • 3 + years of prior executiveadministrative experience in a legal or professional services environment required.
  • Bachelor’s Degree required.
  • Outstanding oral and written communications skills.

This is an in-office role (with work from home flexibility), Monday-Friday and they are requiring all employees to be fully vaccinated.
