Dental Insurance and Patient Care Coordinator

Salary Range:  $17.00 - $21.00 hour

For our growing dental practice, we’re looking for a friendly, energetic cross-trained candidate to float between the Front Office Patient Care Coordinator role and Dental Assistant role. We are looking for someone who thrives in a team-player atmosphere. You’ll assist with patient care, sterilization, room setup, and some dental hygiene activities. You should have a dental x-ray certification and give excellent patient care to succeed in this position. 

You will be responsible for working with insurance companies to verify patients’ benefits, as well as calculating and collecting outstanding payments from patients. You should be proficient in using the dental practice management software (Open Dental Preferred) to update each patient’s file, run and monitor weekly and monthly reports to verify insurance payments received, and upload completed insurance forms into patients’ electronic files. In addition, Patient Care coordinator duties include inputting patient information into our computer system, answering patients’ inquiries, and coordinating their treatment. Our ideal candidate will be eager, energetic, team-driven, keen attention to detail and a quick learner.

To be successful in this role, you should work closely with patients, explain their treatment and benefits to them, communicate any insurance concerns, and manage any insurance disputes. An outstanding Patient Care Coordinator should achieve excellent customer service, and share a professional relationship with insurance companies to ensure success in balancing patient benefits with insurance payments. In addition, be a friendly face at the front desk to greet patients, build relationships, check in, and work with the Treatment Coordinator to help manage and fill production and hygiene on the schedule accordingly.


Dental Assistant Duties & Responsibilities:

  • Getting patients ready for dental procedures.

  • Sterilizing and sanitizing equipment, setting up instrument trays, preparing supplies, and assisting with dental operations contribute to infection control.

  • When necessary, assisting dentists in the management of dental emergencies.

  • When necessary, assisting dental hygienists with operations.

  • Taking excellent care of patients.

  • Proper record keeping such as clinical notes, communication notes, lab slips, referrals, health records and histories, etc.

  • Take diagnostic digital x-rays

  • Educate patients on dental procedures, hygiene and maintaining oral health.

  • Following the dentist’s instructions for postoperative care.

  • Dental equipment maintenance.

  • Preliminary impressions for study casts are made.

  • Maintaining dental equipment inventory and ordering dental supplies.

  • Preliminary impressions are used to create temporary restorations and custom impressions.

  • Cleaning and maintaining the office.

Patient Care Coordinator Responsibilities:

  • Verifying the patient’s health insurance benefits.

  • Explaining insurance benefits to patients.

  • Entering data using dental practice management software.

  • Generating reports for all activities.

  • Posting payments made by patients.

  • Following up on non-paid insurance claims.

  • Managing late payments and overdue accounts.

  • Processing insurance payments and refunds.

  • Uploading completed insurance verification forms.

  • Monitoring weekly, monthly and quarterly reports to confirm payment from clients and insurance companies.

  • Welcoming and greeting patients into the office.

  • Scheduling and coordinating appointments.

  • Treatment planning and presenting.

  • Getting the dental staff’s charts and daily routines ready.

  • Updating patients' data.

  • Setting up follow-up appointments and sending out appointment reminders.

  • Verifying payment methods and collecting money as necessary.

  • Verify patient's insurances, submit insurance claims and send billing statements.

  • Answering phones, photocopying, filing, and faxing are examples of common office chores.

Requirements:

  • Accredited Dental Assistant certificate.

  • Certification in dental x-rays.

  • A high school degree is mandatory.

  • At least 1 year of general dentistry experience

  • Experience with a variety of computer duties (Open Dental experience preferred)

  • Communication skills, both written and vocal.

  • A proven track record.

  • Dental instrument knowledge and sterilizing techniques.

  • Knowledge of health and safety regulations.

  • Knowledge of dental insurance

  • Knowledge of dental terminology and proficient in dental procedures

  • Manage and maintain a clean working environment.

Hours of Operation:

  • Monday - Wednesday 7:00am - 5:00pm

  • Friday: flexible admin hours available
