About the Role:
A day in the life: We are seeking a highly capable and proactive High-Level Executive Assistant to provide comprehensive support to the CEO/COO. This position requires a strategic thinker, problem-solver, and exceptional communicator who can efficiently manage executive tasks, coordinate business and personal affairs, and anticipate needs before they arise. The ideal candidate will be highly organized, discreet, and adaptable, capable of operating in a fast-paced environment while ensuring seamless daily operations for executive leadership.
On a given day, as the High-Level Executive Assistant, you will:
Executive Support & Coordination:
- Manage and prioritize the CEO/COO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Serve as the primary gatekeeper, handling all incoming communications, including emails, phone calls, and correspondence.
- Draft, edit, and proofread emails, reports, presentations, and other documents on behalf of the CEO/COO.
- Coordinate meeting preparation, agendas, minutes, and follow-ups, ensuring that all action items are completed.
- Serve as the CEO/COO's liaison, proactively identifying and resolving issues before they escalate.
Project & Task Management:
- Track and follow up on tasks, projects, and deadlines, ensuring alignment with executive priorities.
- Organize and oversee special projects, both personal and professional, to support the CEO/COO’s strategic objectives.
- Manage confidential documents and sensitive information with absolute discretion.
- Research and prepare background materials for executive decision-making.
- Handle expense reports, invoices, and financial reconciliation related to executive needs.
Errand & Logistics Management:
- Execute personal and professional errands efficiently, including but not limited to:
- Banking and financial transactions
- Event planning and coordination
- Travel arrangements and accommodations
- Purchases and returns
- Household or office-related needs
- Ensure logistics run smoothly, such as transportation coordination, reservations, and itinerary planning.
- Work closely with vendors, contractors, and service providers for both business and personal affairs.
Communication & Relationship Management:
- Act as a representative of the CEO/COO in meetings, calls, and email correspondences when needed.
- Build and maintain strong relationships with internal teams, clients, and external customers.
- Ensure executive messaging is communicated clearly and professionally across all platforms.
- Foster a culture of efficiency and accountability by ensuring alignment between executive leadership and team operations.
Office & Administrative Management:
- Provide high-level administrative support to ensure smooth office operations.
- Maintain and update executive files, records, and confidential information.
- Assist in event planning, company initiatives, and leadership team support.
- Optimize workflows and administrative processes to improve efficiency.
Schedule & Travel:
This is a full-time Monday through Friday position with day shift hours. This department would provide a flexible schedule. Although this department does not travel for work, we have three divisions that operate around the clock, seven days a week. You may need to travel or adjust your schedule to accommodate other divisions.

The qualified candidate we seek is a High-Level Executive Assistant with these QUALIFICATIONS:
- Preferably 3-5 minimum years of experience working in a business or executive capacity.
- A minimum of 2-3 years of proven experience working for either a COO, CEO, or owner.
- Proven initiative and ability to work independently with minimal supervision.
- A current, valid driver's license and auto insurance.
- A minimum of 2-3 years of experience with core computer skills, preferably with the ability to use email and apps from Google Suite or Microsoft Office.
- Proven experience in customer service positions for a minimum of 2-3 years, with an emphasis on effective communication and excellent interpersonal skills.
- Effectively managed and implemented 2-3 projects simultaneously, ensuring that all established goals were met within the designated timeframes.
- Financial acumen, with the ability to read and understand P&L statements and apply financial insights to operations.
- Problem-solving and critical thinking abilities, with a keen understanding of basic contract language.

Additional Qualifications preferred:
- Possess a college degree preferred, demonstrating a strong foundation in intellectual thinking, analytical skills, and the ability to navigate complex business environments.
- Prior industry experience working in a company with annual revenues between $10 million and $40 million, with an understanding of the unique challenges and opportunities within this scale of operations.
- Demonstrated experience managing contracts, ensuring compliance, and overseeing licensing processes to meet legal and regulatory standards.
