About the Role:
A day in the life: The Deputy Chief of Staff is a dynamic role designed for a highly motivated individual who will provide critical support to the CEO/COO, ensuring that company goals, objectives, and strategic missions are met. This position serves as a bridge between the executive leadership and the operations team, facilitating seamless communication and project execution across the company. The role is tailored for a candidate eager to grow into a Chief of Staff position, taking on progressively more responsibility over time.
On a given day, as Deputy Chief of Staff, you will:
Executive Support:
Provide direct support to the CEO/COO in their day-to-day responsibilities.
Perform minor executive assistant duties, including but not limited to calendar management, email correspondence, and scheduling.
Represent the CEO/COO in meetings, emails, and phone calls when schedule conflicts arise.
Assist in meetings by taking notes, developing action items, and ensuring their completion.
Compile performance reports, financial data, and strategic updates for the CEO/COO to present at board meetings and external engagements.
Assist the CEO/COO in making decisions that reflect the company’s ethical standards, especially in complex situations with competing interests.
Strategic Liaison:
Act as a liaison between the CEO/COO and Ops Leadership to ensure daily business practices align with operational goals.
Facilitate communication between departments and divisions to support strategic initiatives.
Regularly review project milestones and timelines, providing updates and adjusting resources as necessary to keep initiatives on track.
Act as a central conduit for cross-departmental collaboration, fostering open and effective communication between the CEO/COO and Operations Leadership. Work closely with all departments and divisions to co-create strategies that align with the company’s objectives, ensuring that each team’s insights and expertise are integrated into the decision-making process.
Participate in confidential meetings and handle sensitive information with discretion.
Project Management:
Take ownership of high-priority projects, ensuring timely execution by coordinating resources and managing deadlines.
Complete special projects as directed by the CEO/COO.
Assist in creating and maintaining key performance indicators, standards, and procedures to streamline operations.
Continuously assess the performance of operations teams and projects, using data analytics to provide actionable insights for the executive team.
Assist in developing and managing department budgets, ensuring projects are completed within financial parameters.
Occasionally visit project sites for observation, reporting, or relationship-building purposes.
Customer Relationship Management:
Interact with new and existing customers to help scale relationships and build strong business partnerships.
Support the CEO/COO in building and maintaining strong business partnerships.
Adhering to company work safety policies.
Other miscellaneous duties, as assigned.
Schedule & Travel:
This is a full-time Monday through Friday position with day shift hours. This department would provide a flexible schedule. Although this department does not travel for work, we have three divisions that operate around the clock, seven days a week. You may need to travel or adjust your schedule to accommodate other divisions.

The qualified candidate we seek is a Deputy Chief of Staff with these QUALIFICATIONS:
Preferably 3-5 minimum years of experience working in a business or executive capacity.
A minimum of 2-3 years of proven experience working for either a COO, CEO, or owner.
Proven initiative and ability to work independently with minimal supervision.
A current, valid driver's license and auto insurance.
A minimum of 2-3 years of experience with core computer skills, preferably with the ability to use email and apps from Google Suite or Microsoft Office.
Proven experience in customer service positions for a minimum of 2-3 years, with an emphasis on effective communication and excellent interpersonal skills.
Effectively managed and implemented 2-3 projects simultaneously, ensuring that all established goals were met within the designated timeframes.
Financial acumen, with the ability to read and understand P&L statements and apply financial insights to operations.
Problem-solving and critical thinking abilities, with a keen understanding of basic contract language.

Additional Qualifications preferred:
Possess a college degree preferred, demonstrating a strong foundation in intellectual thinking, analytical skills, and the ability to navigate complex business environments.
Prior industry experience working in a company with annual revenues between $10 million and $40 million, with an understanding of the unique challenges and opportunities within this scale of operations.
Demonstrated experience managing contracts, ensuring compliance, and overseeing licensing processes to meet legal and regulatory standards.
