Job Title: Seasonal Assistant Event Planner/Administrator 

Duration: April through October 

About Us: We are a dynamic event services company that provides bar, food, and event support to weddings, fundraisers, and other gatherings in Oregon and Washington. Our company is growing, and we are seeking a Seasonal Assistant Event Planner/Administrator to join us in delivering exceptional experiences to our clients. 

Responsibilities: 

  • Take direction from and partner with the office manager to offer quality and consistent customer service.  
  • Provide administrative support to the office manager by handling day-to-day tasks.  Respond to event-related inquiries via phone and email promptly.  
  • Act as the main point of contact for client’s once events are booked, handling customer communication and organizing TWST event details. 
  • Conduct pre-event phone calls with clients prior to their event and adjust company services accordingly.  
  • Maintain up-to-date event order information and invoices.  
  • Coordinate with clients to adjust food/beverage services, streamline event logistics, and manage rental/staffing details.
  • Convey to clients and implement company policies by event needs and client requests. 
  • As time allows, perform other administrative tasks that may include drafting standardized emails, sending out/responding to marketing inquiries, and attending business social events and open houses/expos.  

Qualifications: 

  • 2 Years experience as either an event coordinator, an assistant event coordinator, or in event management or planning. 
  • Detail-oriented with the ability to think on your feet. Excellent customer service skills with proficiency in phone and email etiquette. 
  • Strong time management skills and the ability to pivot between different tasks efficiently. 
  • Knowledge of Microsoft programs and moderate computer literacy. 
  • Applicant must be able to learn new computer programs with limited instruction 
  • Bonus: Experience in the restaurant or hospitality industry, familiarity with estimating systems, and capacity to assist with marketing email responses.  

Schedule: 

  • Approximately 20 hours per week, with flexibility in coordination with the current Event Coordinator/Office Manager to ensure timely customer communication. 
  • Potential to increase hours based on business volume.  

Work Environment: 

  • Remote with occasional site visits or in-person meetings. 
  • Communication via phone calls, emails, and Zoom calls. 
  • Must be located within the Portland Metro area of Oregon.  

Future Opportunities: 

  • Potential for future work in the slow season (November-March) in other tasks/departments based on the company’s success and candidate performance/qualifications.
