We are looking for a Virtual Assistant who is creative and enjoys working in an entrepreneurial environment to join us at RallyBright. The ideal candidate will have the ability to exercise good judgment in diverse situations and maintain a realistic balance among multiple priorities. They will have strong administrative, organizational, writing and verbal communication skills.
The Virtual Assistant will provide high-level administrative support to the CEO and other senior-level team members. Reporting directly to the CEO, they will provide executive support in a one-on-one working relationship. In addition, they will organize and coordinate outreach and external relations efforts and oversee special projects.

Responsibilities:
- Handle multiple tasks, projects and day-to-day priorities in a fast-paced work environment
- Coordinate and manage meetings and logistics; schedule conference calls; prepare meeting materials including synthesizing information, taking meeting minutes and following up on action items
- Provide administrative support to ensure team organization including managing detailed calendars, scheduling meetings and making travel arrangements; managing invoices, expense reports, and vendor/consultant agreements; keeping the contacts database up-to-date
- Produce agendas, reports, special projects and other materials in support of the organization's objectives using Word, Excel and PowerPoint
- Perform office tasks including maintaining records, ordering supplies and performing basic bookkeeping
- Assist with the development of external-facing communications and content (e.g., webinars, newsletters, emails, website content)
- Perform additional duties as assigned by senior-level team members
Requirements:
- At least 2 years of virtual assistant or other relevant experience
- Proficiency with MS Office and high comfort with PowerPoint; Design skills a plus
- A good understanding of internet and web applications with a desire to learn new technologies
- Strong written and verbal communication skills and a customer-first orientation
- Organizational skills, meticulous attention to detail and ability to prioritize
- Excellent multitasking and project management skills
- Comfort with startup environments including high ambiguity and flat organizational structure
- Integrity, respect for others and the ability to develop positive relationships with managers, customers and colleagues
- Confident, high-energy, self-motivated and a true team player
- Experience working with senior and executive-level customer contacts a plus
