Bookkeeper / Office Admin

We are looking for an experienced and thorough Bookkeeper and Office Administrator who can improve our systems through years of personal experience, and advise our leadership team from data-driven conclusions. A successful candidate will turn data into information, information into insight, so that leadership can take those insights into business decisions. This is a full-time position located in El Cajon, CA. 

The ideal candidate will maintain project data, schedule workers in the field, manage processing and procedures, Must be positive, flexible, reliable, great with time management, and be very organized.


  • Submit prequalification with general contractors
  • Assist with job costing
  • Assist in managing the payroll system 
  • Processing payments to subcontractors and vendors
  • Reconciling bank statements monthly.
  • Maintaining the accuracy of the general ledger.
  • Processing employee timesheets.
  • Creating journal entries for all accounts, including fixed assets.
  • Monitoring cash flow.
  • Managing all business licenses, insurance policies, and collecting documents for any audits by our third-party administrators.
  • Make bank deposits
  • Data Entry of purchase orders, receipt of goods, invoice entry, and maintaining vendor records
  • Process bills and payments from the mail
  • Keep the office organized and inventory stocked.
  • Filter and “clean” data by reviewing computer reports, printouts, and performance indicators to locate and resolve problems proactively.
  • Job costing and financial reporting for management.
  • Work with management to prioritize business and information needs.


  • Proven working experience (5-10 years preferred) as a bookkeeper 
  • Excellent computer skills and highly efficient work practices
  • Strong knowledge of and experience with Excel, Quickbooks, and Project Management Software such as a Workglue CRM
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy
  • Adept at queries, report writing and presenting findings
  • Must be responsible, kind and self-managed and self motivated
  • Brings calm, clarity and positivity to tense situations.
  • Business degree or equivalent experience with accounting, bookkeeping, mathematics or related fields is desirable.
