Job Description

A Small World Pediatric Dentistry, a bustling family-centered pediatric dental practice, is excited to announce an opening for a Receptionist. This role is ideal for an individual who thrives in a vibrant environment and is keen to manage the daily interactions essential to a medical office setting. Through direct engagement with patients and meticulous attention to the specifics of reception responsibilities, the candidate will play a critical role in maintaining the smooth operation of our practice.

This is a full-time position located at our main office. Candidates should note this is not a remote job, and reliable attendance on-site is essential for carrying out the duties associated with the role.

Duties and Responsibilities

  • Greet patients and visitors in a courteous and friendly manner.
  • Answer incoming calls, schedule appointments, and manage patient queries with professionalism.
  • Maintain and organize patient records with the utmost confidentiality.
  • Ensure that the waiting area remains clean and organized at all times.
  • Handle patient check-ins and check-outs efficiently.
  • Collect and process payments and co-pays from patients.
  • Confirm upcoming appointments and recalls to minimize no-shows.
  • Manage office inventory and supplies, restocking as necessary.
  • Facilitate effective communication between patients, family members, and dental staff.
  • Uphold the practice’s protocols and policies at all times.
  • Participate in administrative meetings to suggest methods to improve customer satisfaction and office efficiency.
  • Maintain a professional appearance and conduct at all times in the office.

Requirements

  • High school diploma or equivalent; further certification in Office Management is a plus.
  • Proven experience in a dental or medical office setting is advantageous, though not strictly required.
  • Strong communication and interpersonal skills.
  • Ability to operate standard office equipment, including phone systems, copiers, and fax machines.
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
  • Flexible schedule, with the ability to work early mornings, evenings, or weekends as required.
  • Effective time management skills and the ability to multitask.
  • Attention to detail is crucial.
  • Ability to handle stressful situations professionally and calmly.
  • Comfort in working with children and families from diverse backgrounds.
