Construction Project Coordinator

Seeking Experienced: Construction Projects Administrator/Coordinator

Vendor/Subcontractor/Consultant Management

  • Help search for and vet qualified subcontractors, vendors, and consultants

· Maintain active database by trade

· Coordinate all pre-engagement activities with subcontractors, vendors, and consultants

· Obtain signed contracts, vendor agreements, liability insurance, W-9 forms, and worker’s comp insurance

· Coordinate construction worksite rules, policies, and signoffs

· Manage job, vendor, subcontractor, and consultant documentation

· Create and manage invoices, accounts payable, accounts receivable, and draw requests

· Create job codes and purchase order codes within our system and using standard formatting

· Ensure correct job coding of labor and supplies

Project Management

  • Verify that every project has a scope, timeline, and budget and assist the construction and development groups in the creation of these core business items
  • Maintain process for documenting the above and update as project progresses
  • Ensure appropriate approval of all projects

· Create documentation for job starts and sign-off on each project

· Obtain management approvals for all projects

· Maintain project management software and keep data up to date

· Maintain project photo timeline documentation

· Bidding reconciliation

· Preparation of permit documentation and applications

· Tracking of permits and public approvals

Property Management

  • Maintain the relationship between the construction, development, and property management groups

· Keep them up to date on project timing, scope, and job costs, as directed

· Provide notice to properties prior to construction starts

· Relay property managers feedback to construction/development

General Administration

  • Assist in development of quarterly management reports
  • Assist in organization of divisional documents and project reports, and help to develop and maintain both a paper and Cloud system that is functional
  • Assist with monthly KPIs

  • Valid DL-Required
  • Reliable vehicle-Required
  • Background check and drug screen-Required
  • Construction experience-Preferred
  • Accounting-Preferred
  • Proficient with computers-Required
  • Excellent communication skills-Required
