MARKETING COORDINATOR

JOB DESCRIPTION

Pacifica Services is seeking an experienced Marketing Coordinator to support the development of proposals and marketing materials to help fuel the growth of our established and emerging business lines.  This individual will report to our Director of Marketing and work closely with our business development and project teams to develop compelling written and visual content to promote our services and respond to requests for proposals and other procurement requirements.   The Marketing Coordinator supports and QCs the work of technical, proposal and graphics staff assigned to the pursuit from Pacifica, joint venture partner firms, design partner firms and third-party consultants to ensure on time completion of compliant, compelling submittals. 

Other responsibilities include supporting with resume updates, monitoring websites and publications for project updates, and maintaining our database of project, personnel and corporate information used to support marketing efforts.

Responsibilities (What you’ll be doing):

  • Maintain an organized filing system for proposals 
  • Develop/maintain marketing information systems
  • Update proposal templates, project sheets, and staff resumes and ensure all relevant information is stored in database and searchable for future pursuits.
  • Create compliance matrices that assigns tasks to supporting proposal team for technical proposal development.
  • Oversee the sub-consultant RFI process to obtain necessary proposal information, technical and non-technical narrative, forms, and other documents requested 
  • Support the business development team in key research activities, e.g. client, competitor and market research, development of client account plans, win themes, and development of executive summaries and white papers
  • Help develop strategy on project-specific marketing activities, and coordinate production of project marketing support materials (proposals, presentations, etc.). 
  • Participate in pre-bid meetings, support follow-up questions and short-list interviews through presentation development.
  • Assist with the production of visually appealing materials, project specific graphics, tables, and charts to incorporate into proposals, presentations, and other client-facing documentation.  
  • Proofread, edit, and standardize proposal text for proper grammar, spelling, comprehension, and style to support one voice methodology. 
  • Assist with the assembly and delivery of the printed and electronic submittals by established deadlines.

 

Required Qualifications and Skills (What we are looking for):

 

  • Bachelor's degree from an accredited university in communications, marketing, journalism, English or related area
  • Minimum 3 years of proposal coordination experience in construction and/or engineering industry; as well as in creating presentations and marketing collateral
  • Complete understanding of the proposal process, from planning stages to production
  • High level understanding of construction and/or engineering industry
  • Appropriate usage of distinct writing tones and styles, depending on the audience and deliverable
  • Good eye for design and composition
  • Excellent proofreading skills and ability to write and edit project summaries, resumes of project personnel, and other supporting information.
  • Comfortable working in a fast-paced, team-oriented, deadline-driven environment
  • Superior written, verbal, and visual communication skills 
  • Demonstrated proficiency in Adobe Acrobat & InDesign and the Microsoft Office Suite.  
  • Proficiency in virtual collaboration tools including SharePoint, FTP sites, video conferencing and other marketing-related applications

 

Preferred Qualifications:

  • Proficiency with social media (Facebook, Twitter, LinkedIn) a plus
  • Some knowledge or skill in graphic design a plus
  • Experience working an Engineering/CM environment preferred

Employment Type/Schedule:

  • Full time/40-hour week
  • Monday to Friday
