Corporate Administrative Assistant

Salary Range:  $1 - $2 hour

We believe the first point of contact with our company is critical to building a professional and successful business.  This is an important role within our office providing a professional, high-quality reception experience and in addition providing administration support that enables the efficient operations of the Office.  

 

Roles and Responsibilities:

 

Receptionist/Administrative

  • Serves as the first point of contact for greeting visitors and callers to the company
  • Maintains conference room schedules and appearance/Zoom conference schedule & equipment                
  • Make reservations at restaurants for luncheon or dinner meetings as needed           
  • Maintain Corporate Calendar using Microsoft Outlook
  • Provide executive and administrative support to President/CEO and corporate office staff
  • Order business cards
  • Open and distribute mail daily                                                                       
  • Maintain/prepare office deliveries

 

Phones:

 

  • Answer, screen, and direct all phone calls                                                      
  • Maintain employee cell phone, and laptop records
  • Arrange for all cell phone repairs or replacements
  • Program corporate office phones and maintain phone directory                                                       

 

Maintenance:

 

  • Place service calls to repair office equipment and maintain current phone numbers for all vendors                                                

Fax Machine, Lights, Xerox, printers, computers, Elevator, Air conditioning & Heating, Plumbing, Coffee and water dispensers, Postage machine, Shredders, and Maintain supply room                                     

  • Order office and kitchen supplies as needed              
  • Point of contact for IT service calls

Minimum Requirements:

  • High School Diploma or associates degree required
  • Bachelor’s Degree preferred
  • Minimum of five (5) years of administrative or executive assistant experience
  • Proficient in Microsoft Word, Outlook, Excel, and Suite
  • QuickBooks preferred
  • Ability to Multi-task
  • Displays excellent interpersonal, verbal, and written communication skills and organizational skills.
  • Ability to independently research, compile and organize confidential information proficiently and accurately, with minimal rework
  • Detail-orientated, reliable and organized
  • Ability to prioritize tasks and handles urgent matters expeditiously
  • Answer the phone using an advanced telephone system-switchboard
