• In accordance with established procedures, perform a variety of routine and non-routine administrative, clerical, and data entry/collection and report writing tasks for supervisors and program managers
• Gather statistics and general data; review and combine this information into established reports for use internally
• May be responsible for verifying data gathered, such as matching supplier invoices against file copies
• Receive direction from immediate supervisor in completing non-routine assignments
• Scan, fax and bind documents, reports, and proposals as required
• May develop new or revise existing reports and SharePoint presentations, as directed. Such reports and presentations may be in spreadsheet or graphical formats, or narrative-style word processing
• Distribute reports as directed by immediate supervisor
• Prepare general correspondence and maintains general files
• Maintain a project-wide Calendar and schedule meetings as needed
• Answer telephone, take and relay messages, screen callers and direct calls accordingly
• Receive, sort, and distribute mail
• May establish and maintain records of equipment, including a log of equipment service dates. May initiate requests for service
• May coordinate physical space requirements for the supervisor and project team members. Initiate requests for computers and telephones as appropriate
• May periodically prepare an occupancy report by project or gather information to complete staffing reports, as directed by immediate supervisor
• Maintain an organized work space by keeping documents and supplies properly stored
• May represent immediate supervisor at project-related or other meetings as directed
• Contribute to the advancement of TDG’s goals through commitment to productive collaboration with stakeholders
• Perform other responsibilities associated with this position as may be appropriate
• Proficiency in Microsoft Office Suite of software is required
• Proficiency in Adobe Acrobat and Bluebeam software is required
• Proficiency in VoIP phone systems and set up
• Demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required
• Monitor clerical, administrative office flow of documents. For example prepare all NTP, Closeout, Acquisition letter, Exemption Request, RFM’s and C-letters, for the RUE projects
• Schedule MS Teams/WebEx or In person meetings, update & maintain accuracy of all Project Managers calendars for meeting within the RUE and LAMP groups
• Ensure filing systems are maintained and current in LAWAshare/SharePoint for all RUE documents and letters
• Update status change databases, upload Concept Approval Letters/Closeout Letters in LAWAshare database
• Maintain and schedule various Skyview Conference rooms
• Update & upload prolog database as assigned
• Provide administrative support to one Element Manager and approximately 12 Project Managers

• A working knowledge of LAMP policies and procedures is preferred
• High school diploma (or equivalent) and more than 10 years of relevant work experience, preferably 15 years of experience
• May assume other duties as required/needed
• Maybe required to work past regular work shift
• Maybe required to work various shifts as needed
