Squeegee Squad of Wichita is excited to announce a job opening in our dynamic team for the role of Administrative Assistant. This part-time position plays a crucial role in supporting our operational team and ensuring our office runs smoothly. Located in Wichita, this is an on-site opportunity, ideal for those who thrive in a fast-paced, community-oriented work environment.

The Administrative Assistant position is designed to support the Operations Manager and other staff by performing a multitude of administrative and clerical tasks. By joining our team, you will contribute to optimizing our business operations and enhancing our customer service, making a direct impact on our success and efficiency.

Duties and Responsibilities

  • Handle incoming phone calls, SMS, and instant messages, ensuring timely and accurate responses.
  • Manage office email communications and ensure all responses are prompt and professional.
  • Facilitate communications between Operations Managers, Crew Leaders, and other staff to enhance operational efficiency.
  • Assist in optimizing daily scheduling and routing to achieve production goals.
  • Support the scheduling, dispatching, and confirmation of appointments as well as processing rescheduling and cancellation requests.
  • Maintain and manage client records through diligent data entry and ongoing maintenance in the CRM system.
  • Assist with invoicing, accounts receivable, and payable tasks to ensure financial operations run smoothly.
  • Support Operations Managers with various administrative needs related to business operations.
  • Assist in the onboarding process of new employees, ensuring a smooth integration into the team.
  • Coordinate time and attendance tracking and aid in payroll processing to support HR functions.
  • Provide assistance in planning and executing tradeshow and other business development activities as needed.

Requirements

  • Excellent organizational and administrative skills.
  • Proficiency in Microsoft Office suite and experience with CRM systems.
  • Strong time management skills with an ability to multitask in a dynamic environment.
  • Effective communication skills, both verbal and written, with a customer-focused approach.
  • Capability to work collaboratively within a team and with various departments.
  • Flexibility and adaptability to manage tasks as per the changing business needs.
  • Willingness to learn and take on new tasks and responsibilities as needed.
  • This is a part-time position and requires the applicant to work on-site.
