The Administrative Assistant provides essential clerical and organizational support to the president of a busy personal injury law firm. This role assists management and staff with daily administrative tasks, coordinates communications, maintains records, and helps keep business activities running smoothly.
Key Responsibilities
- Office Administration
- Manage and maintain schedules, appointments, and meetings.
- Answer and direct phone calls and handle inquiries professionally.
- Prepare, edit, and proofread correspondence, reports, and presentations.
- Organize and maintain paper and electronic filing systems.
- Handle incoming and outgoing mail, deliveries, and emails.
- Clerical & Operational Support
- Assist in data entry, document management, and record keeping.
- Order and maintain office supplies and equipment.
- Support company projects and team activities as assigned.
- Help coordinate travel arrangements and meeting logistics.
- Maintain confidentiality with sensitive company and client information.
- Administrative Management
- Prioritize and manage multiple projects and deadlines
- Track tasks, follow up on commitments, and ensure timely completion of projects delegated by the President.
- Assist with preparation of firm performance reports and business analytics.
- Communication & Coordination
- Serve as a point of contact between internal departments and external clients or vendors.
- Ensure smooth information flow within the office.
- Assist in preparing reports, spreadsheets, and presentations for management
Qualifications
- Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
- Experience: 3-5+ years of administrative or office support experience required.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Google Suites or Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with office management software or systems.
- Professional demeanor and ability to handle confidential information.
