Position Overview
The Project Coordinator is responsible for supporting project management activities to ensure the efficient execution of roofing, siding, and window projects across commercial and residential sites. This role involves coordinating schedules, communicating with clients and vendors, tracking project progress, and assisting in resolving any logistical or operational issues. The Project Coordinator works closely with the field supervisors, field crews, suppliers, and customers to deliver high-quality work while maintaining project timelines and budgets.
Key Responsibilities
1. Project Coordination & Scheduling
• Assist in planning and scheduling projects, ensuring crews and materials are allocated appropriately.
• Coordinate with project managers to track project progress and adjust schedules as needed.
• Maintain a clear and updated project calendar for all ongoing jobs.
• Communicate project timelines and updates to clients, subcontractors, and internal teams.
• Print and deliver permit packs to various city building departments and job sites if needed
• Prepare, deliver, and pick up permit-related paperwork from various locations • Establish Networks with Cities, Counties, and Municipalities
• Complete permit applications online and in person based on the construction schedule
• Communicate with clients and field supervisors
• Complete payment transactions with city departments
• Update company CRM
• Deliver paperwork and/or run errands for production
• Support the department with various administrative duties
• Conduct business professionally and ethically as a A&A Roofing Representative • Obtain vehicle registrations from the DMV as needed
2. Client & Vendor Communication
• Act as a point of contact for clients regarding scheduling, material deliveries, and job status.
• Communicate with suppliers and vendors to ensure timely material procurement.
• Address customer inquiries and provide updates on project progress and potential delays.
3. Documentation & Reporting
• Maintain accurate project records, including contracts, permits, change orders, and inspection reports.
• Track and document job site conditions, progress photos, and work completed. • Assist in preparing reports on project status, costs, and any unforeseen issues. 4. Quality Control & Compliance
• Ensure all projects meet company standards, industry regulations, and customer expectations.
• Assist in coordinating inspections, obtaining permits, and ensuring regulatory compliance.
• Support the resolution of any on-site issues affecting job progress or quality. 5. Administrative & Operational Support
• Process work orders, invoices, and subcontractor agreements as needed. • Assist in tracking project budgets, labor hours, and material usage.
• Ensure safety procedures and company policies are communicated and upheld on job sites.
Qualifications & Skills
Required:
• Experience in construction, roofing, or project coordination.
• Strong organizational and multitasking skills.
• Excellent communication and customer service abilities.
• Proficiency in project management software and Microsoft Office Suite. • Ability to work in a fast-paced, deadline-driven environment.
Preferred:
• Familiarity with roofing materials, processes, and installation techniques. • Experience with CRM software and field management tools.
• Bilingual (Spanish/English) is a plus.
Compensation & Work Schedule
• Employment Type: Full Time
• Compensation: $22-$25/HR
• Work Hours: Monday - Friday
• Location: Company Office / Hybrid
