Sterling Care, a frontrunner in the healthcare services sector, is excited to announce an opportunity to join our dynamic team as a Receptionist on a contract/temporary basis for the month of December. This role is crucial in maintaining the efficiency and professionalism of our front office operations. As the first point of contact for our clients and visitors, the Receptionist will play a key role in shaping the experience and perception of our facility. Please note, this is not a remote job; presence on-site at our facility is required.
The successful candidate will be responsible for managing multiple front office activities, including greeting and directing visitors, handling inquiries over the phone and in-person, and ensuring a smooth operational flow within the office environment. This role provides an excellent opportunity to develop skills in customer service, communication, and office management within a supportive and professional setting.
Duties and Responsibilities
- Greet, assist, and direct patients, suppliers, visitors, and the general public to the appropriate staff member.
- Manage the central office phone system, and respond to calls and messages promptly and efficiently.
- Handle all in-person enquiries and ensure reception area is organized and presentable at all times.
- Maintain accurate records and enter data into various software systems used within the clinic.
- Schedule and confirm appointments, and maintain calendar for appointments and other events.
- Handle incoming and outgoing mail, faxes, and couriers packages.
- Prepare and modify documents including correspondence, reports, drafts, and emails.
- Assist in the setup of meetings and arrange for amenities as necessary.
- Manage inventory of office supplies including stationery and equipment.
- Support administrative and special projects requirements, as assigned.
Requirements
- High school diploma or equivalent; further education in Office Administration is a plus.
- Proven work experience as a receptionist, front office representative, or similar role.
- Professional attitude and appearance, with excellent interpersonal skills.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills with the ability to multitask.
- Familiarity with office equipment, like printers and fax machines.
- Proficiency in Microsoft Office Suite and other office productivity software.
- Capability to maintain a calm and polite manner in stressful situations.
- Flexibility to respond to a range of different work situations.
- Must be available for on-site work at our facilities.
