True Sports Physical Therapy is excited to announce an opportunity for a dedicated and dynamic individual to join our team as a full-time Operations Assistant. This pivotal role supports our growing network of clinics by ensuring seamless daily operations, enhancing our patient care services, and maintaining our facilities to the highest standards. Please note, this is a mobile position with our Glen Burnie location being the main location for this role.
The ideal candidate will be the backbone of daily operations, adept at multitasking, and ready to tackle various challenges that come with a thriving physical therapy practice. From coordinating essential tasks to liaising with team members, the Operations Assistant is central to enhancing our operational efficiency and the overall patient experience.
Duties and Responsibilities
- Act as a primary point of coordination between physical therapists, patients, and external partners to ensure efficient communication and service delivery.
- Manage the transportation and distribution of marketing materials and necessary operational supplies to various clinic locations.
- Assist with the ordering of business cards, flyers, and other promotional items to support the clinic’s marketing initiatives.
- Maintain and update physical therapists' checklists, ensuring all practitioners are equipped with the necessary tools and information.
- Demonstrate flexibility and readiness to handle unexpected changes during the workday, including urgent runs of marketing materials to other locations as needed.
- Coordinate the creation and distribution of marketing materials with the marketing team to align with promotional strategies.
- Organize and manage inventory relating to holiday gifts and ensure timely planning and execution of annual holiday parties and events.
- Provide support in embroidery ordering, checklists preparation, and meeting coordination to ensure operational tasks are executed efficiently.
- Assist in the setup of new clinics including managing the build-out, ordering equipment, and maintaining up-to-date signage and listings.
Requirements
- Proven experience as an Operations Assistant or in a similar role focused on support and logistics within a physical or occupational therapy setting preferred.
- Strong organizational and multi-tasking skills, capable of managing multiple projects simultaneously while maintaining attention to detail.
- Excellent interpersonal and communication skills, with the ability to network and liaise effectively with a variety of stakeholders and teams.
- Adept at problem-solving and adapting to changing environments and tasks as needed.
- Must be mobile and able to travel to different locations to support various operational needs effectively.
- Experience with inventory management, event coordination, and promotional material dissemination.
- Knowledge of healthcare or physical therapy clinic operations is a significant advantage.
- Ability to work independently with minimal supervision, demonstrating initiative and commitment to job responsibilities.
- Availability and flexibility to meet the fluctuating needs of the clinic, including weekends and holidays as required.
