As an Administrative Assistant, you will be pivotal in supporting our business operations and enhancing our organizational efficiency. This role involves direct assistance to the owner, handling critical administrative functions and contributing to a seamless operational flow. This position offers a unique opportunity to develop administrative skills and grow professionally in a supportive and stimulating work environment.

Duties and Responsibilities

  • Provide comprehensive administrative support to the company's owner, ensuring efficient operation of the office.
  • Handle daily accounting tasks, including tracking expenses, preparing reports, and managing invoices.
  • Manage both inbound and outbound calls with professionalism, addressing client inquiries and supporting communication across the team.
  • Accept and process payments, ensuring accuracy and timely entry into the accounting system.
  • Maintain and organize digital and physical files for easy access and streamlined office operations.
  • Schedule and coordinate appointments, meetings, and events to optimize the owner’s calendar and enhance organizational efficiency.
  • Prepare necessary documentation, presentations, and reports, contributing to the preparedness of the team for various engagements.
  • Conduct and support project-based work as assigned to contribute to specific operational goals.

Requirements

  • Proven administrative experience, preferably within a fast-paced office environment.
  • Hands-on experience with office management systems and procedures.
  • Strong knowledge of accounting processes, with previous experience in handling financial transactions and reports preferred.
  • Excellent communication skills, capable of managing both inbound and outbound communication effectively.
  • Detail-oriented and highly organized, able to manage multiple tasks and priorities efficiently.
  • Professional demeanor, demonstrating responsibility and confidentiality in handling sensitive information.
  • High school diploma required; further education or certification in administrative services is a plus.
  • Must pass a comprehensive background check prior to employment confirmation.
