Duties and Responsibilities
- Oversee daily front desk operations, including patient scheduling, registration, and check-in/check-out procedures.
- Answer incoming phone calls, handle inquiries, and provide patients with necessary information regarding dental services.
- Manage appointment booking and ensure scheduling efficiencies while keeping patient preferences and dental staff availability in consideration.
- Coordinate with dental insurance companies to verify patient coverage, submit insurance claims, and handle billing inquiries.
- Maintain accurate and up-to-date patient records in accordance with legal and dental board requirements.
- Process payments from patients for dental services rendered and provide receipts.
- Ensure the reception area remains clean and organized to provide a welcoming environment for everyone.
- Promote a positive and professional environment in all interactions with patients, visitors, and dental staff.
- Generate reports on daily, weekly, or monthly basis as required by the dental practice management.
- Assist with the implementation of office policies and procedures to improve operational efficiency.
- Lead, train, and supervise front office staff, ensuring they are well-prepared to meet the demands of their roles.
- Identify and resolve any issues related to front desk duties promptly.
Requirements
- Proven experience as a Dental Office Manager or similar administrative role in dental or healthcare settings.
- Excellent understanding of dental procedures and terminology.
- Strong organizational skills for managing a busy office environment efficiently.
- Competency in using dental practice management software.
- Exceptional communication skills, both verbal and written, to effectively convey information to patients and staff.
- Demonstrable leadership skills and the ability to supervise and motivate a team.
- High school diploma; further certification in Office Management or Administration is a plus.
- Ability to work full-time and onsite, as this is not a remote job.
- Detailed oriented, especially with insurance documentation and patient records.
- First-hand experience in customer service and conflict resolution.
