Segal McCambridge, a national litigation firm is seeking a part-time receptionist to join our Southfield office. This is an important position as you will represent the firm to those who call and who come into the office. The ideal candidate will have a professional appearance ensuring a positive first impression to our visitors and guests, as well as a friendly demeanor and positive attitude. Essential duties and responsibilities:
- Welcoming clients and visitors in a warm and friendly manner.
- Answering, screening, and routing incoming calls on a multi-level telephone system. Taking messages as needed.
- Answering general inquiries and providing information to visitors and callers.
- Sorting and distributing mail and deliveries, including opening it and scanning it into the system.
- Preparing and mailing outgoing mail for office staff.
- Handling check requests and acting as a liaison with our Accounts Payable department.
- Monitor and order office supplies, ensuring supplies are ordered in a timely manner to avoid shortages.
- Verify the receipt of ordered supplies and ensure the correct items and quantities are received.
- Communication with various vendors.
- Maintain and update phone list.
- Facilitate the pickup and delivery of important documents.
- Submit check reimbursement forms for office expenses.
- Oversee maintenance, service and supplies of copy machines, postage machine and vending machine.
- Manage delivery schedule and invoicing for paper shredding and Absopure water pickup and deliveries.
- Performing tasks such as photocopying, faxing, and scanning documents.
- Preparing and offering beverages for in-office meetings. Cleaning up as needed, following appointments.
- Assist with executive and administrative tasks as needed.
Desired skills and knowledge:
- High School Diploma.
- Minimum 1 year experience as a receptionist in an office environment.
- Friendly and professional demeanor.
- Quick learner with a pleasant demeanor and positive attitude.
- Confidence and the ability to remain calm and level headed when faced with challenges.
- Strong communication, customer service, and organizational skills, along with the ability to multitask and use technology effectively.
- Proficiency with Microsoft products (Word, Excel, PowerPoint, Outlook), Windows Applications, Internet search engines.
- Ability to maintain confidentiality.
- Interpersonal skills necessary in order to communicate and follow instructions effectively.
- Independent judgment required to plan, prioritize and organize diversified workload.
This is an in-person, non-exempt, hourly position with the opportunity to work in a professional and friendly environment.
