Job Summary:

We are seeking a diligent and efficient Office Clerk who is skilled in administrative support and comfortable handling a variety of tasks to ensure smooth office operations.

Responsibilities:

  • Answer the phone at the reception desk or in specific departments, transfer calls, and handle inquiries as needed.
  • Sort and distribute incoming mail and manage outgoing mail.
  • Create documents, maintain databases, and handle communications through memos and emails.
  • Organize logistics for meetings and conferences, including booking travel, making reservations, and managing rentals.
  • Run errands, make deliveries, and manage tasks both within and outside the office.
  • Collect, file, and organize office documents, including reports and confidential records.
  • Manage digital document filing, including encrypted documents and email correspondence.
  • Monitor office inventory and order supplies as needed.
  • Transcribe meeting notes, and prepare minutes, memos, and agendas.
  • Prepare and process invoices or estimates and assist with simple bookkeeping, accounts payable, and accounts receivable tasks.
  • Handle packaging and shipping of company materials.

Qualifications:

  • High school diploma or equivalent; further training or education is a plus.
  • Attention to detail.
  • Good presentation.
  • Spanish & English is a must.
  • Proven experience as an office clerk or in a similar administrative role.
  • Familiarity with office procedures and basic accounting principles.
  • Proficient in MS Office; adept at learning new software and systems.
  • Strong communication skills and the ability to handle multiple tasks efficiently and effectively.
  • Detail-oriented with excellent organizational skills.

Compensation and Benefits:

  • $17.00 - $19.00 per hour, based on experience.
