Entry Level Construction Project Coordinator

Job Title: Project Coordinator

Reports To: Project Manager

The Entry-Level Project Coordinator is an integral part of the construction team, providing support to the Project Manager, Estimating, and Project Accounting teams. This role involves assisting with project coordination tasks, maintaining accurate documentation, and ensuring smooth communication between team members. This is an excellent opportunity for someone looking to start their career in construction management and gain hands-on experience in a fast-paced, collaborative environment. 

This job is part of the Graduate Mentorship Program in which candidates must be currently unemployed, a recent graduate (within 5 years), and legally authorized to work in Canada.

Key Responsibilities

Project Management Support:

  • Assist the Project Manager in organizing and coordinating project activities.
  • Help track project schedules, milestones, and updates.
  • Support communication with subcontractors, suppliers, and other stakeholders to ensure timelines are met.
  • Prepare and assist with distributing project documentation such as meeting minutes, RFIs, and submittals.
  • Maintain organized records of project correspondence and documentation.

Estimating Support:

  • Assist the estimating team by gathering documentation and supporting the preparation of bid packages.
  • Conduct basic quantity take-offs under the guidance of the estimating team.
  • Research pricing for materials, labor, and equipment as needed.

Project Accounting Support:

  • Collaborate with the accounting team to organize project cost and budget records.
  • Assist in processing invoices.
  • Help prepare cost reports and financial summaries for review by the Project Manager and accounting team.
  • Support the team in resolving basic billing and payment issues.

General Assistance:

  • Help ensure compliance with safety and regulatory requirements by assisting with documentation.
  • Support field staff and office teams by coordinating administrative tasks.
  • Identify and communicate potential issues to supervisors in a timely manner.
  • Assist with scheduling meetings, updating project calendars, and performing general administrative duties.

Qualifications

  • Education: Diploma, certificate, or degree in construction management, engineering, business, or a related field.
  • Experience: No prior experience required; internships or related exposure to the construction industry is an asset.
  • Graduate Mentorship Program: Candidate must be currently unemployed and a recent graduate, and legally authorized to work in Canada.
  • Skills:
    • Proficiency with basic computer applications, including MS Office (Word, Excel, Outlook, Premier Construction).
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication.
    • A keen eye for detail and willingness to learn.
    • Ability to work in a team-oriented environment and take direction effectively.
