The Office Assistant role is stationed at our office and is not remote, ensuring a hands-on approach in our team-oriented setting. Duties and Responsibilities

  • Work directly with the Production Manager and Production Team to organize and facilitate project needs.
  • Schedule production crews properly and efficiently to ensure smooth operations.
  • Order materials for projects while managing timescales
  • Handle customer inquiries and complaints with professionalism and escalate issues as necessary according to company guidelines.
  • Document all inquiries, requests, resolutions, and follow-up tasks to maintain clear and effective communication.
  • Display a courteous and empathetic attitude to all customers, aiming to resolve issues and foster positive relationships.
  • Assist with every sold project to completion, ensuring consistency and quality throughout the customer journey.

Requirements

  • Strong ability to focus on details to ensure accuracy and efficiency in all tasks.
  • Excellent organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly.
  • Experience in office administration and customer service, with a background in CRM platforms and basic computer skills (PC/Mac).
  • Outstanding communication skills, both verbal and written, essential for internal coordination and customer interface.
  • Adaptability to changing priorities and customer needs, demonstrating flexibility in a dynamic environment.
  • Proven ability to resolve customer issues effectively and efficiently with a high level of customer service orientation.
  • The ability to work independently with minimal supervision and an eagerness to learn and take initiative.
  • A friendly and professional demeanor that enhances team and customer relations.
  • Honesty, reliability, and innovation with a team-player attitude focused on collective success.
  • Bi-Lingual capabilities are preferred to enhance communication with a diverse workforce.
  • High school diploma or equivalent; higher education is an advantage.
  • Driver's License Required
