Located at our main office, this position is integral to our administrative team and requires an individual who can manage multiple tasks effectively. This is not a remote job, and the selected candidate will be expected to work onsite to facilitate direct coordination and management of office functions.

Duties and Responsibilities

  • Answer incoming calls, managing correspondence, and redirecting calls as necessary
  • Utilize the company’s CRM to input, retrieve, and manage data efficiently
  • Perform follow up calls to customers to ensure their satisfaction with services rendered or to gather feedback
  • Maintain a high level of professionalism and confidentiality in handling sensitive information
  • Assist in scheduling meetings, appointments, and managing calendars for senior staff
  • Prepare documents including correspondence, reports, and presentations
  • Maintain filing systems, ensuring accuracy and completeness of corporate records
  • Handle basic financial duties such as invoicing and processing expenses
  • Oversee office supplies inventory and place orders when necessary
  • Assist in the preparation, planning, and logistics for internal events and meetings
  • Support the management with daily administrative tasks and contribute to team effort by accomplishing related results as needed
  • Guide and aid other employees with office equipment like printers and fax machines
  • Ensure a tidy and operational office environment

Requirements

  • Proven experience as an Office Administrator, Office Assistant, or relevant role
  • Strong ability to communicate effectively in both written and verbal form
  • Excellent organizational and time management skills
  • Detail-oriented with strong follow-up ability to ensure resolution of issues
  • Proficient in using office software including MS Office and CRM systems
  • Basic knowledge of clerical and administrative procedures and systems such as filing and record-keeping
  • Basic phone and computer skills necessary to handle day to day office tasks
  • A high school diploma; further education or certification is preferred
  • Capability to work under pressure and meet deadlines
  • A strong sense of discretion and confidentiality
  • Comfortable managing multiple tasks and prioritizing projects
  • Able to handle customer inquiries and complaints with professionalism
